Looking for a club administrator

The Yale Club of Boston (YCOB) is seeking a new, part-time, paid administrator to support the Board (composed of volunteers) and club operations. The time commitment is expected to be ~15 hours a month, flexing up or down by 5-10 hours depending on the time of year and pace of club-hosted initiatives. 

The YCOB is the primary organization connecting Yale alumni in eastern and central Massachusetts. With ~500 dues-paying members and thousands on an email distribution, it regularly hosts events for its constituents, partners with other alumni groups and non-profits, and coordinates the Yale Book Award and internships for current Yale students.

The volunteer board leads the organization of events, supported by the admin, who takes the lead on bookkeeping (e.g., managing transactions in Stripe and QuickBooks with review and guidance from the club Treasurer, preparing monthly and annual financial summaries), occasional reimbursements and mailing, and tracking tasks across multiple email threads to ensure venues are paid, checks are cashed and mailed, and club membership is adequately supported in their queries. The admin may also manage website postings, online event registrations, and inquiries from alumni.

 A core responsibility of the admin is the Yale Book Award, which is awarded to high school juniors of academic and personal excellence at ~130 high schools in the YCOB’s geography. This entails coordination with the high schools, soliciting and tracking donations, managing book purchases and mailing books to schools, as well as ensuring that donated funds and expenses are accounted for accurately. 

The role is remote, with a preference of being located in the Boston area. If located locally, the admin is welcome to attend YCOB events and help with at-event logistics. 

The admin will be working alongside a collaborative and social organization, which hopes to form an extended (multi-year) partnership with their admin. For more information on the club, please visit yale.boston.

An excellent candidate will be:

  • Prompt, organized, friendly, and professional

  • Comfortable with technology, including email, website management, spreadsheets, etc.

  • Experienced with basic accounting / bookkeeping and QuickBooks (if inexperienced, comfortable with financials and willing and excited to learn)

  • Enthusiastic for the role and for fostering connections within the Yale alumni community

  • An eye for improvement and motivation to identify and execute more efficient processes
